Job Description
Job Summary:
We are seeking a highly skilled and experienced Executive Personal Assistant to provide personalised administrative support to the CEO of our company. The ideal candidate will have excellent communication and organisational skills, be resourceful and proactive, and have the ability to handle multiple tasks efficiently.
Minimum Requirements:
- Grade 12 plus Secretarial Diploma / qualification
- 5 – 10 years relevant Executive Assistance / Secretarial and Administration experience
- Strong private sector experience at the executive management level experience
- Exceptionally high level of Computer Literacy required (MS Office – Word, Excel, PowerPoint and Outlook)
- Must have a good understanding of an Executive’s statutory responsibilities and be able to support in all required roles
- Excellent communication skills
- Presentable – neat and professional in appearance
- Valid driver’s licence

Key Duties / Responsibilities:
- Communicating professionally and effectively with clients telephonically, managing and screening the Executive’s telephone calls.
- Taking and distributing messages.
- Welcome clients and visitors and communicate their appointments to Executives.
- All duties pertaining to diary management, including scheduling of meetings / appointments, liaising with clients / suppliers / stakeholders both telephonically and via email on behalf of management. Making flight, travel and accommodation arrangements and communicating details to management.
- Document control and systems assurance – recording all information and keeping confidential records in a user-friendly, accessible format.
- Take, type, and distribute meeting minutes.
- Typing letters, reports and general correspondence.
- Providing general secretarial / office administration support to management.
- All general office administration duties, including preparing meeting documents / presentations.
